00:01 Hi, today I'm going to be talking about how you can easily automate your enrollment process and the tech essentials that you can use for course and membership sales. I'm Elizabeth Newman and I'm a funnel strategist and tech automation specialist and I work mainly with coaches and course creators in getting their tech on stuck and simplifying your business with a strategy first method. I've been working in my online business since 2016 when I left my full time role as a criminal courtroom clerk. And mainly I've been working doing tech and automation setup for different steps along the customer journey, including out what is required for launches. So that has always included doing the strategy first of what's needed before I work on doing the build or the integration of what's needed for the tech and automation set up in today's training what I'm going to be covering is why automation and testing are essential, how to set up a call funnel for easy bookings and how to set up a sales funnel that works for you.
01:14 So there are different benefits to automating your enrollment process. And one of them is if somebody is looking to book a call with you, it's a lot easier to be able to give them a link where they can then go to see your availability, select a time, fill out some questions so that you have that information from their end. And also you can set it up so they get automated confirmation and reminder emails and even follow up emails. It's just a lot easier to do that instead of going back and forth trying to figure out dates and times that work and not having all of the automated emails set up properly so that they can be reminded of the call especially in some cases they may be booking a call for like a week or two later.
02:03 Another benefit of automating your enrollment process is if somebody is looking For more information on your course or program and is they want to be able to purchase or just at least find out more because they're considering it. It's a lot easier to again be able to give them a link that then goes to your sales funnel, which would include a sales page where they can find out the different details and what's included in your program and be able to then click on buttons from there to go to the checkout page and be able to purchase your program.
02:37 Makes it a lot easier instead of going through all of the different details of what your programs benefits and features are and pricing and so on through email or DMS. This then gives them the opportunity to read about it, be able to purchase at any time especially that's important with all the different time zones that we have, and then they can always reach out and ask more questions if needed through that email or DM. So that's another benefit to having an automated enrollment process. And those both benefit your client or customer as well as yourself, just making it easier for you, making it easier for them to be able to access you and your course.
03:20 So an overview of an automated enrollment process has three main steps or components. The first one is the strategy and plan before setting up the tech. So I really talk always about doing the strategy and planning of your tech and automation set up before you actually get started with your tech. It's a lot better to be able to have the plan in place, what software you're using or need to add in, as well as what you need to be able to create the different funnels or the different automation and be able to have that all set up.
03:57 And always remember to test as well as you're working through that. And then that way you can also know what images or videos or the copy or like the written part of what you need for emails or pages number two it would be your calendar set up. So that is so that someone can book calls with you and get those automated emails, such as call reminder emails. And Step 3 is a sales funnel with an automated purchase onboarding emails.
04:27 And then that way they can also get access to your course automatically once they purchase. So that's the overview of what we're going to be going into more detail during this training about setting up an automated enrollment process.
04:43 So as I talked already a little bit about the strategy, I just really want to talk about that a bit more because if you have a simple, straightforward strategic plan, it can help you have less tech automation headaches, which I know it's very common for people to feel overwhelmed with tech or have different tech issues. Having that strategy in place helps lower the chance of those things happening and you'll just having more or organized a setup that you can be working on yourself or your team or outsource that to someone to get that set up for you.
05:24 So for the call funnel setup, there's a few parts that are needed for that and the first one is a calendar setup. And so that would be where you're setting up your actual calendar in a software that supports you, setting up calendars, booking links, and also the automated emails that go along for anyone who books a call i'm also going to be talking a bit about tracking the leads or the people that are booking calls with you or interested in booking a call with you and some software options.
05:58 So first, we're starting with the calendar setup for this call funnel setup. So what we want to make sure that you do is set up a calendar and you can always set up more than one sometimes you may have a 30 minute call and an hour call. So those will be two different calendars. But the important thing is to start and set that up and have different questions that when someone is coming to book the call with you, they can answer those questions to give you more information to prepare for the call.
06:28 Obviously name and email are important if they have a website or what the website is so you can go take a look at what it is that they do in their business if it's a business, business related question or call that you're doing, or if it's something else that you need more details about them, you can ask them in this questionnaire when they book a call. So that is usually an option wherever it is that you're setting up this calendar to set up those questions like so that way you have that information, it comes in and you can review it before your call. Number 2 is there's calendar settings that need to be set up.
07:08 Some of these calendar settings could be something like your how many calls you want to do in a day, like the maximum amount of calls in a day that people can book. Or it might also be how much time shows up on your calendar for them to be able to find a slot. So for example, if you just want to show them the next two weeks, you can set that up using your calendar software so that way it only shows two weeks of the next two weeks for them to book a call. So that would only be there for them so they won't be able to book three weeks away they'll be able to only see two weeks at a time if you want to get them moving and and setting up a call sooner than later as an example.
07:54 There's some other settings like that that you would need to make sure to set up, but those are a couple of examples. The next step that you'll want to do within your calendar setup is to integrate it with your own calendar. So most commonly that would be with your Google Calendar or Outlook and in some cases you can do your Apple calendar, just depends on the calendar software you're using.
08:14 So you'll want to do that so that way you're automatically getting these calls added into your Google Calendar, for example, and you'll be able to take a look at your week coming up and see if there's any calls in there. And then that way it gives you the the view of what calls you have coming up. And testing is something I always talk about as well, is to make sure that once you have all of this set up, that you go ahead and book a call yourself with a different email address or an email address of somebody you know that can do it for you and then be able to test and make sure that all of the availability is showing up correctly, that they can book, find times to book and be able to then get the proper integration in with your Google Calendar, for example so that you do see this call come up on your Google Calendar and everything's working correctly before you give out this link to someone to book a call with you.
09:13 Now, the next step with the call funnel set up are the automated emails so in some cases your calendar software may give you that option to set up, for example, confirmation email, remind your emails and follow up emails. Or you may have to integrate it with your email marketing software so that when someone books a call through your calendar, then the emails then will be sent out from your email marketing there are many different options to do this and I'll be going over a few common ones in a few minutes to know how to do that.
09:46 So your confirmation email is what you want to have set up so that as soon as they book a call, then a confirmation email is sent to them with the details of the call and so that they know that it's gone through and it's all ready and scheduled. You also want to set up some reminder emails just to remind them of the call and giving them again the details for example, if it's a Zoom link, you'll want that in there so that way they can then have the like open up one of those emails, get the Zoom link and come to the call at the scheduled time.
10:15 Often people do a reminder 24 hours before, one hour before, and sometimes right when the call is starting it just kind of depends on what emails you want to do for that. And then there's follow up emails that can be automated as well so that they get sent out right after the call has happened. Or they can be segmented or categorized a little differently so that if they did not purchase yet, they get certain emails. 10:44 And if they went ahead and purchased, then you don't want any more follow up emails because they're going to then go into your purchase automation instead for purchasing your course, for example. And again, if you want to test these emails as well, make sure that when you're booking like a test call, that you're getting these emails to and being able just to check what the emails look like both on your laptop or computer as well as on your phone. Just to make sure the formatting looks right and that everything looks great before you start giving out this link.
11:19 Now, another step that you can do is track the leads so meaning anyone who's interested in booking a call, who's reached out or you've been in contact with or who has booked a call, you'll want to track that and be able to follow up with them. And then you'll want to also keep notes from your call and be able to then know what was the outcome of the call, whether it ended up that they weren't interested or whether you're need to follow up or whether it's that they went ahead and purchased that there's different outcomes and you'll want to track those so that it makes it easier for you to follow up with them and keeping that updated as well.
11:56 So that when they book and maybe another call with you, then you have that information, know that you've already met them and you'll be able to look back on your personalized notes. So the best thing that I always have found is to set this up and be able to, as soon as the call is done, I would have made some notes as I'm on the call, but then I'll be able to put them into where I'm tracking these leads and be able to have those personalized notes. It just makes it easier when you're having different calls of different people just to keep everyone all the information straight and be able to use that when you're talking with them and remember information that they've given you and that you've shared with them as well.
12:38 So that would be the way you can track leads when it comes to them interested in booking a call or booking the call itself? Next you'll want to look at some software options. So first it would be what software you want to be using for your calendar booking. So some common ones that people use, one of them is Calendly, the other one is Acuity. And then there are some two that may be within some of the software you already are using for other things, there may be a call booking option to set up calendars.
13:16 So one of the ones that I use for my business is FG Funnels, which is actually a white label version of High Level. So it does many things and one of the things it does is also you can set up like these called booking calendars and set up automated emails. So you just want to look at the software you already have to know if you already have that option or you can then look into any of these options there are many more, but those are like the more common ones I would say.
13:43 Another software that you would need is for your automated emails. I mentioned earlier that sometimes your calendar software may have those automated emails already, but if you are doing email marketing anyways and sending out emails in general, then you may want to send it out from your email marketing software so you have it all together it just depends on which software you're using and how you want to have things set up. So this will be something that when you're in the strategy phase of getting this set up, you'll want to look into a bit more and make those decisions. And then a place to track your leads, a very basic one is using a spreadsheet like a Google Sheet and putting down the person's name and information.
14:29 And what a lot of other people use is they can use something like click up, which is more of a project management tool, but it can be used for tracking purposes. And then there's also different software that may include the tracking the leads as well, which is something like I mentioned already, like FG Funnels does that where you could set up your calendar, set up the automated emails and track them and be able to know at what point they are in, whether they're showing interest or whether they've booked a call.
15:01 So again, different software options apart from the ones I'm talking about here too. So just wanted to go over a few options you have already. Now I'm going to talk about the sales funnel set up. So that would include the funnel pages set up themselves, the automated emails that follow, a way to track your sales and then again, I'll talk about some software options. So number one is your sales funnel set up, is the actual pages set up, so your funnel pages themselves.
15:35 So in most cases, you'll have a sales page which has all the information about the program, pricing it has benefits, it may have testimonials, it may have different parts to it it just there's some things that are always on sales pages and then sometimes you may fluctuate a little bit as in some parts or take out some parts depending on where you're at in your process of setting up the sales page, you'll want to have that set up and then having the buttons on those pages go to the next funnel page would be a checkout page.
16:07 So this is where it just kind of outlines, again, like what the program is about, just like a quick overview and gives them the chance to put in their name and email and their billing and information because this is now where they're going to be purchasing the program or the course. The next page that they would go to once they do that would be a purchase confirmation page or sometimes they're called thank you pages.
16:29 And then that's where you can be confirming that they've purchased and giving them any important information at that point of whatever it is that they need to know for their next steps and letting them know that they'll be getting some more information in their emails. And again, I always will be talking about testing you'll want to, once you have this all set up, you'll want to test and do a test purchase.
16:50 And some software has a test mode that you can use so you can just put in test and then it won't it actually charge your credit card as you do this. And then that way you're able to make sure everything is working correctly and that everything is looking good. Again, you'll want to check on your desktop, your or your laptop as well as on a cell phone. The next step are the automated emails that will occur, what someone has purchased.
17:18 So that would be a purchase confirmation email again, just to let them know that everything worked out great, that they have now joined your program or course and giving them any information they need and how to access your course as well. Then there's onboarding emails that you can add in. Some people do these on a daily basis for the first few days or they may divide it up every couple days.
17:41 Just depends on how your program is set up. And this again, will be for giving them some more details, whatever it is that information they need so that when they join, they'll know what they're supposed to be doing and how to best use your programmer course. Then you can set up some weekly emails if that pertains to your course or program. Maybe it could be that a different module is now available and what they should be focusing on for that week.
18:08 If you're doing some coaching calls, then you could be sending out these weekly emails, including the information about the coaching calls. Just depends again on how your course remember set up. But that would be some other emails that you could be sending out in an automated fashion for those who have purchased. So that way they're being up to date and knowing what they're supposed to be working on and whatever it may be to get them the most success with your programming course. And again, we're going to talk about testing again, to be able to make sure that once you have these automated emails set up that you want to test them and be able to make sure that you're getting them all the links are working in the emails by clicking on the links, making sure they're going to the right places.
18:50 And again, how they're going to look whether if someone's on a desktop or a laptop or again a cell phone.
18:58 The next part is that you'll want to be tracking these sales so just like you were tracking the leads when it came to someone make up purchasing or I mean setting up a call and the fact that now that same person may have purchased or someone may not have had a call with you and just went directly and purchased you're going to want to track this because then that way you're knowing who is purchasing, whether they had a call with you or not.
19:25 Then you know whether to follow up with them in a different way or not follow up with them for now, whatever it may be, your strategy around follow up and what it is that you are leading them through when it comes to your course and membership or program, purchase then that would be the way that you'd want to track these sales. Again, adding in personalized, notes any information that is important to remember about now your clients or customers, then you can have that there and just remember to keep updating this so that way you have this all set up for yourself and on your team.
19:59 Now, some software options, there are many different ones that you can do and there's ones that are all in one or some that are separate, but you can connect them. So for example, for funnel pages, you'll need a software. Some common ones would be Thrive Cart is one that people use quite a lot to create these funnel pages. They can also create courses or memberships within that software so that when someone purchases they had access to their course. Sometimes people are using FG funnels like I had mentioned earlier, which is a white label version high level to create their funnel pages when it comes to their sales page and so on.
20:40 And you can also create course in there as well else and then be able to integrate it so that they get access to that course. And there are other ones as well like sometimes people are using teachable or thinkific for hosting their course. And then that gives you the opportunity to create like a sales page that someone comes and looks at it and can purchase from there and get access to the course.
21:03 So and there's many more. Those are just some of the more common ones that you can use if you wish. Now when it comes to automated emails, some of the ones I mentioned may have some automated emails and some don't. So you'll still need in some cases an email marketing software so for example, if you're using Thrive card for your funnel pages, you'll still need an email marketing software. So common one that people use is Kit, which is firm formerly known as Convertkit.
21:33 If you're using something like FG Funnels, which is what I use, then you have the chance to just have email marketing right in that software so you don't need to get a different software for that. And then there's also other, another common one that is used for both funnel pages and emails is Kajabi. So that's another one that people can use. And so like I said, there's those and many more to choose from so I just wanted to go through some of the more common ones.
22:02 And then for tracking your sales, just the same idea as what I had mentioned earlier when it comes to tracking your leads, when it comes to people booking calls, you can set it up in a Google Doc or you can put it into like a program like click up. Or in some cases, like I mentioned earlier, with FG Funnels, you can actually track the sales right in there through pipelines. So just depends on what software you're using and being able to get that all set up. So to recap, we talked about the importance of strategy 1st and then building the tax you're always going to want to plan and strategize what it is that you're trying to do, what software you need and what parts you need when it comes to images and videos and what copy or like the written part that you want.
22:50 So it's better to have that all laid out and just makes it a lot easier to then build the tech and make it work for your business. We also talked about a call funnel setup and the importance of testing that. So that would be for you to get a link from setting up that call funnel so that someone can just go in directly and set up a call with you based on the availability that you put into your calendar software.
23:13 Then we talked about the sales funnel set up and testing that, which again is for people to find out about your program or your course and be able to go through all the information and purchase through that funnel and the importance of testing all that before you're giving out the links for someone to purchase. So I'm going to talk about some resources that are available for you.
