[00:00:00]: Hi there. I'm so glad you're joining me today to learn all about how to batch create your content using ChatGPT and Notion. If we haven't met before, hi. Hello. I am Meredith. I'm a mom, business owner, graphic designer and tech loving creative who helps people start and grow their online business from home. I've been working with online business owners since I started my own business as a side hustle back in 2017 before I took it full time in 2020 when my son was born, I knew I didn't want to go back to my corporate job and now I spend my days helping creative business owners grow their business with stunning designs and tech solutions that simplify their lives. Of course, with any online business in 2025 comes content creation and that is exactly what I'm going to be helping you out with today.
[00:00:46]: Whether you're promoting your business through blog posts, short videos, long term video content threads, email marketing, whatever. It can feel so overwhelming to always be creating content on top of actually running your business, taking care of your and you know, just having a life I used to stare at a blank page wondering what to post next, feeling like I was behind in posting and look kind of like I was just making things up as I go. Does that sound familiar to you? That all changed when I started using ChatGPT and Notion together to batch create my content. This system has totally transformed the way I approach my content because now I can map out a full year's worth of content in an afternoon and then batch create it step by step when I'm in the best frame of mind to do so. I have ADHD and for me as a business owner, that means sometimes it's hard for me to sit down and just write a new blog post if I'm not feeling up to it that day, especially when I'm just starting with a blank document. With this system, I work on different steps in my content creation system over time so that I'm always working on the right thing for my brain on any given day. How this works for me is breaking out the different steps of content creation and batching them all at different times. Today I'm going to be using long form blog post content as an example for what I'm doing, but this can be adapted for any kind of content creation you need.
[00:02:01]: You'll just need to alter the ChatGPT prompts depending on exactly what you're looking for. Now for me and my blog posts, batch creating looks a little something like this. Step 1 decide on a topic Step 2 write your first draft Step 3 edit and publish your post and Step 4 promote your post. But if you are creating YouTube content, it might look something like Step 1 decide on your topic. Step 2 write your video script Step 3 film your video Step 4 edit your video Step 5 publish your video and Step 6 promote your video. And with this content creation system you always have step one done. You have already decided on a topic so you can go and start writing right away without having to sit and spend your time thinking about that what topic you should write about today. And for me, writing a blog post is easiest if I know I have a chunk of time free of any interruption so that I can start and finish it in one go.
[00:02:58]: Promoting the post, on the other hand, is something that I can do in bits of time between other tasks when I have a moment batch. Creating my content in these chunks helps me to actually get things done. And having an entire year's worth of content ideas mapped out is invaluable to prevent the blank screen panic I feel or the last minute oh no, what should I post this week? Spirals if this sounds familiar to you, let's get started. My system can be broken out into three parts. First up, you need to brainstorm your content plan with ChatGPT and then you're going to take your content and organize it in Notion. And then Step three Create your content. Before we get started, I want you to download the free Notion Business Planner that we'll be using throughout this process. You can grab it at the link on the slide here or find the link around the presentation where it says get the free Notion Business Planner Planner.
[00:03:47]: Load this into your Notion account and then we will head over to ChatGPT to get started. Step one is all about getting ideas out of your head and into a plan. The best way to have ChatGPT help you out with this is to give it a super clear and strategic prompt. So what you're going to type in is I want to post a new blog post, 52 total. My niche is your niche so they can what you do to help them. What info do you need for me to create A list of 52 blog post ideas for the year? So if you are wanting to generate YouTube video ideas, you can use a very similar prompt. But start by telling ChatGPT that you want to post a new YouTube video weekly and you're looking for video ideas. Once you add this prompt into ChatGPT, it will give you a list of questions as if you're chatting with your business buddy and it is gold because it asks Chat GPT exactly what it needs from you.
[00:04:40]: Instead of just saying give me 252 ideas, you're inviting it to collaborate you and it'll ask follow up questions like what topics are you already sharing about? What kind of format do you want to use? What business models are you teaching? And the more specific your answers are, the better your final content plan will be. So be as detail oriented as you can be with this.
[00:05:02]: So what we are going to do in ChatGPT is just paste in the prompt saying I want to post a new blog post weekly. So 52 posts in a year. My niche is helping parents start a business from home so they have more time to spend with their kids. What information you need for me to best create a list of 52 posts that I should create for this year? Send that and now it will give you all of the information that it needs from you instead of just making it for any random list of things. This is going to help to tailor your results to your business and your niche so it tells you exactly what you need to target audience details, your content focus, your business model, your content preferences. Now what I'm going to do just copy and paste this and paste it into a Google Doc and fill out these questions. So what kind of parents are you targeting? Moms, Dads, stay at home single parents, Moms who are stay at home parents. What age are their children? Usually they are infants or young toddlers or early school age.
[00:06:15]: Are they beginners or do they have experience business? They are beginners and are just getting started. Your content focus Are you focused more on digital business, freelancing, e commerce, blogging or physical and local business? It is focused on creative businesses and you could just work through and fill out these and then we'll go back to ChatGPT and paste it in. Do you want to include mindset and personal development topics? Yes please. Will you cover technical how to's, setting up a website using Canva or stick to broader subjects?
[00:07:06]: Both.
[00:07:08]: Are you offering services, products, courses or affiliate marketing? Services, courses and affiliate marketing. Do you want some posts to directly support or lead into your offerings? Yes please. I have a course called Creative Business Kickstart that I would like hosts for. Do you want evergreen content only or do you also want timely seasonal posts? Mostly evergreen, but a few back to school posts are okay given my audience because if there are people who have kids going back to school, they might want to be starting it then. So that's my choice. Enter whatever information you want here now we're going to copy this, go back to ChatGPT and paste it in. And now it's saying here's what I'm going to create from you. List of 52 weekly blog posts and what the post will include.
[00:08:21]: Evergreen and seasonal topics, how to's list goals, mindset topics, story based. Now these are just the results that I got based on the answers that I gave ChatGPT. So your category stories, your blog posts, they're going to be different depending on the information that you give. And the more information you give chatgpt about you and your business, the more tailored these results are going to be for you. And now what I'm going to do is take this list, I'm just going to directly copy and paste it and I'm going to head into this notion 2025 business plan and under blog post ideas. I am just going to paste the entire list categories and all this is where I'm going to go through with my own experience and information for how I want to run my business and cut out any blog posts that I don't think are going to be a good fit or aren't topics I want to do. You will have your own reasons for not wanting to do the posts, so just cut out any that you don't want to do and then we're going to send that list back to Chat Chat GPT.
[00:09:34]: So I'm just going to go through.
[00:09:34]: And cut out the ones that I don't want. Okay, so now that I've gone through these posts and taken out any that.
[00:10:25]: I don't want, I am going to.
[00:10:27]: Copy this list again. I'm going to go back to ChatGPT. And now I'm going to say here are the posts that I relate to and think fit my audience. Please create additional posts similar to these to fill out the 52 week schedule because I cut some that were not a fit for my business.
[00:11:12]: And now. Speaker B [00:11:13]: It'S going to give you additional blog post topics that are even more tailored.
[00:11:17]: To the things you want to do.
[00:11:18]: In your business versus just generic ones based on your audience.
[00:11:22]: So I'm just going to go through.
[00:11:23]: Them again and copy and paste any directly that I want one at a time. Now if there are any extra categories that ChatGPT didn't give you, you can go back and say let's say please create five blog post ideas that are specifically for beginners and a how to for starting your business. They can be and add in your specific topics that you want added and it's going to give you more that are more niched options for you. Now this is where step two comes in and we're going to start organizing our content with Notion.
[00:12:45]: What I like to do is drag them around, update titles if needed, color code them, whatever makes your brain happy and whatever will work best for you to actually use this document in your own business. To get started, I like to start by picking the top four. This would be easy to write and knock off my to do list ideas and move those up to the top. These will be the first four posts that I can focus on, AKA an entire month's worth of content that is done when it's one post per week. For each of these posts I click to turn it into a page and then add any initial details I want for the post. And again, there are so many ways you can use ChatGPT to get more information for your post. I use it to brainstorm post titles, pin titles for Pinterest, pin descriptions, and so much more. For promoting my posts, I add all of these within the page for my post.
[00:13:37]: So when I'm going to write it, I have all of the information I need in one spot to actually, actually write my post. At this point the plan is in place and now all that's left is actually creating the content. Which takes us to step three. With your content ideas neatly organized, creating the actual content gets way easier and you can use ChatGPT for so many steps to help you out along the way without relying it to write the entire content for you. Let's say you have 30 minutes to work on your business from your phone while waiting at your consent. Swing practice. You can open up the Notion app on your phone, head to the next post on your list and copy the title. Now you can head to ChatGPT app and say I'm writing a blog post called how to Know what Business to Start from Home, which is targeted towards stay at home moms who want to start a business with their kids at home.
[00:14:26]: I want you to act my strategic copywriter and create 10 blog post title options, 10 Pinterest pin titles and 10 Pinterest descriptions. Again here you can give it as much information as you need or or requirements for it. So I've added these should be no more than 100 characters for the pin titles, these should be no more than 500 characters, et cetera. Now when ChatGPT gives you this information, you have a great starting point for your marketing blog because as soon as it's published you already have your Pinterest content ready to go. Then when you're ready to sit down and create the blog post, you already have some content to work with. You can even ask ChatGPT to create an outline for your blog post using a very similar prompt as before, just saying the title of my blog post is blank. Can you please write an outline for this blog post? This gets you past the blank page panic part of writing something that can be so scary while still letting you generate your own content in your own words, adding your own unique voice and experience to it. You can draft the entire blog post right in Notion or sometimes I throw it in a Google Doc and link that right at the top of the Notion page for that specific post.
[00:15:37]: With this system, it helps me to get into the groove of batch creating and knock out a month's worth of posts in short bursts of time across across one week. I try to do this all across one week so that my content is ready for the month ahead. So at the beat this so at the beginning of June I'm working ahead on my July content because everything for June is already scheduled and ready to go. So how that works for me is on Monday I like to schedule post titles and the pinned copy with ChatGPT on Tuesday. That's the day I dedicate to writing all of my blog posts. On Wednesday I spend my time creating the promo graphics for it. Thursday is when I schedule all of four of the posts and Friday is when I repurpose those posts and use them for email marketing, Instagram posts, things like that, and this repurposing task. This is another thing you can use ChatGPT for.
[00:16:29]: Copy and paste your entire blog post in there and say something like I'm going to share my blog post copy with you. Please do not share this with anyone else or use it for training. Please repurpose this blog post in the same tone and style, but formatted as a teaser email for my list that I can use to let my subscribers know about the post and encourage them to click through bam. Now you have an email ready to go for your list. All you have to do is paste it into your email platform and send it out. And of course I keep a copy of this email in my Notion page for the blog post so everything is kept in one place and that is a wrap. You now have the exact content system I use to brainstorm, organize and create a full year's worth of content without the content stress of what do I post this week hanging over my head. I hope this training showed you just how powerful it can be to pair smart tech tools like ChatGPT and Notion with your own creativity and strategy for your business.
[00:17:25]: You don't have to do everything from scratch and you don't have to do it all at once either. This system lets you work with your brain, your schedule and your life as a busy business owner so you can get your content created if you haven't already.
